Question 1

What is icistaff and what does it do?

Accepted Answer

icistaff is a cloud-based SaaS platform that helps hotels manage daily operational processes on one digital system. It covers 20+ modules including housekeeping, maintenance, guest requests, preventative maintenance, lost & found, minibar, room service, energy management, and team communication. It is not a PMS — it is the operational layer that sits alongside your existing reservation system and handles everything that happens between check-in and check-out.

Question 2

How is icistaff different from a PMS?

Accepted Answer

A PMS manages reservations, check-in/check-out, and billing — the administrative and revenue side of your hotel. icistaff manages the operational work that happens between those touchpoints: task assignment, room status tracking, maintenance work orders, guest requests, and shift reporting. The two systems are complementary. icistaff integrates with your existing PMS via API so room status and reservation data stay synchronized — you keep your PMS exactly as it is and icistaff fills the operational gap.

Question 3

What support is included?

Accepted Answer

Email support and an online help center are available on all plans. Professional and Enterprise plans include live support and defined SLA response times, which are scoped in a sales conversation based on your property size and requirements. During the onboarding period, the icistaff team works directly with your operations staff to ensure the platform fits your workflows before go-live.

Question 4

Which hotel types is it suited for?

Accepted Answer

icistaff is designed for any hotel that manages operational teams across multiple departments — from boutique properties with 20 rooms to large resorts and multi-property groups. Its modular structure means a boutique hotel can start with just housekeeping and task management, while a large resort or hotel group can deploy the full suite including preventative maintenance, energy management, and a central cross-property dashboard. You start where you are and expand as needed.

Question 5

How is pricing determined?

Accepted Answer

Pricing is based on property size (room count), the modules you select, and your license term. There is no one-size-fits-all published rate because the right configuration varies significantly between a 30-room boutique and a 300-room resort. Contact the sales team for a quote tailored to your property — they will walk you through which modules fit your workflows and what the cost looks like before any commitment.

Question 6

How is data security handled?

Accepted Answer

All data in transit is encrypted via SSL/TLS. Access is role-based, meaning each user only sees the modules and data they are authorized for — housekeeping staff cannot access management dashboards, and so on. All actions are logged with timestamps, creating a complete audit trail. Two-factor authentication (2FA) is supported. Official compliance certifications and GDPR audit scope documentation are being finalized and will be shared as available.

Question 7

Can it integrate with our PMS?

Accepted Answer

Yes. icistaff integrates with popular PMS systems via REST API and ready-made connectors. The integration keeps room status, occupancy data, and reservation information synchronized between systems so your housekeeping and front desk teams are always working from the same data. The exact integration scope — which data fields sync, in which direction, and at what frequency — is verified and confirmed per project during the onboarding phase.

Question 8

How long does implementation take?

Accepted Answer

Standard setups for a single property typically complete in 1–2 weeks. This includes platform configuration to your room categories and departments, PMS integration (if in scope), mobile app rollout to field staff, and initial training. Larger properties with complex department structures or multi-property groups may take 3–6 weeks depending on the number of modules and locations in scope. The icistaff onboarding team will give you a timeline estimate before the project starts.

Question 9

Does it work offline?

Accepted Answer

Yes. The iOS and Android mobile app supports an offline mode for staff working in low-connectivity areas such as basement plant rooms, back-of-house corridors, or locations with poor Wi-Fi coverage. Tasks can be updated and completed offline; all changes sync automatically when connectivity is restored. This ensures field staff are never blocked from completing their work regardless of signal quality.

Question 10

Is there a trial?

Accepted Answer

A 14-day trial option is available. The trial scope — which modules are accessible and how many users can be included — is set up in a brief conversation with the sales team based on your property type. This means you get a trial configured for your actual workflows rather than a generic sandbox, which helps you evaluate the platform against real operations scenarios.
